Travel Terms & ConditionsLast updated: May 2026These Travel Terms & Conditions govern the use of WellCo Travel services, the Website, and all booking requests, travel coordination services, travel arrangements, consultations, and related tourism services provided by WellCo Travel.
By submitting a booking request, making a payment, using the Website, or otherwise engaging with WellCo Travel services, the traveler confirms that these Terms & Conditions have been reviewed, understood, and accepted.
1. Nature of ServicesWellCo Travel provides travel coordination, travel planning, booking assistance, tourism services, and related travel support services in cooperation with independent third-party service providers, including but not limited to hotels, wellness resorts, transportation companies, local guides, excursion providers, activity operators, restaurants, and other tourism-related partners.
WellCo Travel makes reasonable best efforts to provide coordination support, travel assistance, and communication throughout the travel planning process within the practical limitations of supplier operations and circumstances outside WellCo Travel’s reasonable control.
Unless expressly stated otherwise in writing, WellCo Travel does not own, operate, manage, or directly provide accommodation, transportation, wellness, excursion, or other third-party travel services presented on the Website or included within a Booking Confirmation.
All travel services are provided by independent third-party suppliers under their own operational rules, cancellation policies, refund conditions, limitations, and applicable legal requirements.
WellCo Travel acts as an independent travel coordination and travel arrangement service and not as a carrier, hotel operator, airline, transportation provider, or direct operator of third-party travel services.
WellCo Travel may coordinate customized multi-service travel arrangements and private journeys that combine independently provided travel services from multiple third-party suppliers. Unless expressly stated otherwise in writing, WellCo Travel acts as an independent travel coordination and arrangement service rather than the direct operator of such third-party travel services.
2. Booking Requests & ConfirmationBooking requests may be submitted through the Website, email communication, messaging platforms, or other agreed communication channels.
All booking requests remain subject to availability and confirmation by the relevant third-party suppliers.
Prior to final confirmation, pricing, availability, accommodation categories, schedules, routes, wellness programs, transportation details, activities, and other travel components remain subject to change by suppliers without prior notice.
Once the requested services are provisionally confirmed by the relevant suppliers, the traveler may receive a Booking Confirmation, invoice, quotation, or written booking summary containing:
- requested or provisionally confirmed travel services;
- pricing;
- payment terms;
- cancellation conditions;
- refund conditions;
- supplier-specific conditions where applicable;
- preliminary travel details.
Final travel documents, vouchers, confirmations, tickets, schedules, and supporting materials are typically provided after the required payment has been received and the booking process has been fully completed.
Booking confirmations, invoices, payment confirmations, vouchers, and written communications form an integral part of the agreement between the traveler and WellCo Travel.
WellCo Travel reserves the right to offer alternative arrangements if originally requested services become unavailable or cannot be confirmed.
WellCo Travel makes reasonable efforts to keep travelers informed regarding significant supplier-related changes, cancellations, or operational updates that become known during the coordination process.
While WellCo Travel makes reasonable efforts to secure requested travel arrangements, the availability of hotels, wellness resorts, transportation services, excursions, activities, room categories, and other travel components ultimately depends on confirmation from the relevant suppliers.
3. Pricing, Payments & Refund ConditionsPricing may include:
- third-party supplier charges;
- travel coordination fees;
- service fees;
- payment processing and operational costs;
- additional agreed travel-related services.
Unless otherwise stated, prices are provided in EUR.
Payment terms, cancellation conditions, refund conditions, and booking deadlines are disclosed to the traveler before payment is made.
By proceeding with payment, the traveler confirms and acknowledges that:
- all applicable booking, payment, cancellation, and refund conditions were made available for review prior to payment;
- the traveler had sufficient opportunity to review and understand such conditions;
- the traveler expressly accepts all applicable booking, cancellation, refund, and supplier-specific conditions;
- non-refundable rates, supplier penalties, operational fees, and third-party supplier restrictions may apply depending on the specific booking;
- payment constitutes a binding acceptance of the applicable booking conditions and these Terms & Conditions.
As a general rule, WellCo Travel does not require payment until the requested travel services have been confirmed by the relevant suppliers and the traveler has received the applicable booking, payment, cancellation, and refund conditions.
However, certain suppliers, non-refundable rates, seasonal reservations, customized arrangements, limited-availability services, wellness stays, or supplier-prepaid services may require partial or full advance payment before final confirmation can be secured. In such cases, the traveler is informed of the applicable conditions before payment is requested.
If a requested service that required advance payment ultimately cannot be confirmed by the relevant supplier, WellCo Travel may offer a reasonable alternative where available. The traveler may accept or decline such alternative arrangements.
If no suitable alternative is accepted by the traveler, amounts paid for the unavailable and unconfirmed service will be refunded using the original payment method. Processing times, currency conversion differences, banking fees, payment system limitations, or non-refundable payment processing costs outside WellCo Travel’s direct control may still apply where applicable.
Refund eligibility for confirmed bookings depends on:
- supplier cancellation policies;
- cancellation timing;
- confirmed non-refundable charges;
- operational expenses already incurred;
- payment processing costs;
- services already provided or confirmed.
Changes requested after confirmation — including travel dates, traveler names, accommodations, routes, transportation, wellness programs, or other material travel components — may be treated by suppliers as cancellation and rebooking requests and may result in additional charges or new cancellation conditions.
Failure to complete payment within required deadlines may result in:
- suspension of booking processing;
- cancellation of pending reservations;
- release of reserved inventory;
- retention of non-refundable supplier payments and incurred operational costs.
Bank fees, currency conversion fees, international transaction fees, and payment processing charges may be charged by financial institutions and remain the responsibility of the traveler unless expressly stated otherwise.
Unauthorized payment disputes or chargebacks initiated after confirmed acceptance of booking and cancellation conditions may be formally disputed by WellCo Travel. Booking confirmations, invoices, payment records, written communications, supplier confirmations, and accepted cancellation conditions may be used as supporting evidence during dispute resolution procedures.
The traveler agrees not to initiate unjustified or fraudulent payment disputes or chargebacks in situations where booking conditions, cancellation terms, supplier rules, refund conditions, or non-refundable conditions were disclosed and accepted prior to payment.
4. Travel InsuranceWellCo Travel strongly recommends that travelers purchase comprehensive travel insurance from an insurance provider they trust, including coverage for:
- trip cancellation;
- travel interruption;
- medical expenses;
- transportation disruptions;
- personal emergencies;
- force majeure-related disruptions;
- and other unforeseen circumstances.
The traveler acknowledges that travel insurance is the primary financial protection mechanism against unexpected personal circumstances affecting the ability to travel.
The traveler understands and agrees that personal circumstances not directly caused by force majeure events — including illness, medical conditions, anxiety, personal schedule changes, inability to travel, family circumstances, denied vacation leave, visa delays, or similar situations — do not automatically entitle the traveler to a refund unless expressly permitted under the applicable cancellation conditions.
5. Traveler ResponsibilitiesThe traveler is solely responsible for:
- providing accurate and complete personal information;
- reviewing booking details upon receipt;
- obtaining valid passports, visas, permits, insurance, and other required documentation;
- complying with immigration, customs, health, transportation, and local legal requirements;
- arriving on time for flights, transfers, excursions, wellness appointments, and other booked services;
- complying with supplier rules, transportation conditions, hotel policies, wellness center rules, and local laws.
The traveler remains fully responsible for any consequences arising from:
- inaccurate information;
- invalid or expired documents;
- missed departures;
- denied boarding;
- denied visas;
- border restrictions;
- personal conduct;
- violations of applicable laws or supplier rules.
The traveler accepts that travel may involve inherent risks, operational disruptions, delays, weather-related issues, transportation interruptions, supplier changes, government restrictions, regional operational differences, and other circumstances beyond the reasonable control of WellCo Travel.
6. Third-Party SuppliersHotels, airlines, transportation companies, excursion providers, wellness centers, local operators, restaurants, and other travel suppliers operate independently from WellCo Travel.
WellCo Travel makes reasonable efforts to work with reliable suppliers and to assist travelers in coordinating confirmed travel arrangements. However, supplier operations, operational decisions, local conditions, and service execution remain outside the direct operational control of WellCo Travel.
Supplier descriptions, ratings, amenities, images, wellness facilities, schedules, distances, transportation details, and other information are based on information provided by suppliers and may change without notice.
Supplier terms, operational policies, local regulations, and mandatory legal requirements applicable in the country where services are provided may additionally apply to specific travel services and bookings.
Minor differences, operational changes, maintenance work, temporary closures, schedule adjustments, weather conditions, regional characteristics, cultural differences, or subjective traveler expectations do not constitute a breach of agreement by WellCo Travel.
Third-party suppliers may apply their own operational rules, cancellation conditions, refund policies, transportation rules, liability limitations, and consumer terms independently from WellCo Travel.
7. Limitation of LiabilityThe traveler understands that WellCo Travel coordinates travel services involving multiple independent third-party suppliers operating under different regional, operational, and legal conditions, including within various European jurisdictions.
To the maximum extent permitted by applicable law, WellCo Travel shall not be liable for:
- acts, omissions, delays, cancellations, overbookings, operational failures, or service changes by third-party suppliers;
- transportation disruptions, flight delays, schedule changes, or missed connections;
- weather conditions, natural disasters, epidemics, pandemics, strikes, political events, border restrictions, government actions, or force majeure events;
- denied visas, denied entry, deportation, customs restrictions, or immigration decisions;
- loss, theft, or damage to luggage, personal belongings, documents, or valuables;
- traveler illness, medical conditions, injuries, or personal emergencies;
- dissatisfaction related to subjective travel expectations;
- interruptions caused by construction, infrastructure works, regional operational changes, or public authority actions;
- independently purchased third-party services not included in the Booking Confirmation.
Travel experiences may naturally vary depending on personal expectations, regional characteristics, cultural differences, weather conditions, local standards, and individual preferences. Subjective dissatisfaction related to such factors does not in itself constitute grounds for refunds, compensation, chargebacks, or liability claims against WellCo Travel.
WellCo Travel does not guarantee uninterrupted Website availability, uninterrupted supplier operations, error-free travel services, or uninterrupted travel conditions.
WellCo Travel remains committed to using reasonable best efforts to provide coordination support, travel assistance, and communication throughout the travel planning process within the practical limitations of supplier operations and circumstances outside WellCo Travel’s reasonable control.
To the maximum extent permitted by law, the total liability of WellCo Travel for any claim related to a specific booking shall not exceed the amount actually received by WellCo Travel for its own travel coordination services connected to that booking, excluding amounts already paid to suppliers, non-refundable supplier charges, and completed services.
WellCo Travel shall not be liable for indirect, incidental, special, punitive, emotional, or consequential damages, including loss of enjoyment, emotional distress, stress, disappointment, lost opportunities, or loss of income.
8. Right to Refuse ServiceWellCo Travel reserves the right to refuse, suspend, or terminate services in cases including but not limited to:
- abusive or threatening behavior;
- fraud or suspected fraudulent activity;
- payment violations;
- repeated chargeback abuse;
- unlawful conduct;
- harassment toward staff or suppliers;
- violations of these Terms & Conditions.
9. Privacy & Personal DataBy using WellCo Travel services, the traveler consents to the processing of personal data necessary for booking coordination, travel arrangements, payment processing, customer support, and related operational purposes.
The traveler confirms that they have authority and consent to provide personal information for all travelers included in the booking.
Personal data may be shared with independent suppliers, accommodation providers, transportation companies, wellness centers, payment providers, technology platforms, insurance companies, and operational partners where reasonably necessary for booking coordination and fulfillment.
Due to the international nature of travel services, personal data may be processed and transferred across multiple countries and jurisdictions.

10. Force MajeureWellCo Travel shall not be responsible for failure or delay in performance caused by circumstances beyond its reasonable control, including but not limited to:
- natural disasters;
- severe weather events;
- epidemics or pandemics;
- transportation shutdowns;
- border closures;
- strikes;
- wars;
- civil unrest;
- terrorism;
- government restrictions;
- technical infrastructure failures;
- or similar extraordinary events.
In such cases, obligations may be suspended, modified, delayed, or cancelled depending on operational circumstances and supplier policies.
11. Governing Law & JurisdictionThese Terms & Conditions shall be governed by and interpreted in accordance with the laws of Alberta, Canada, except where mandatory consumer protection laws of another applicable jurisdiction require otherwise.
Any disputes arising in connection with these Terms & Conditions shall be subject to the jurisdiction of the courts of Alberta, Canada, unless otherwise required by mandatory applicable consumer protection legislation.
12. General ProvisionsIf any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
WellCo Travel may update these Terms & Conditions from time to time without prior notice. The version published on the Website at the time of booking shall apply to the relevant booking.
These Terms & Conditions constitute the entire agreement between the traveler and WellCo Travel regarding the relevant booking and supersede prior communications related to the same booking unless otherwise expressly agreed in writing.
